WhatsApp Appointment Booking with Calendly and AI
By Steven Van ·
Quickchat's guide connects a WhatsApp agent to Calendly MCP, with a worked bicycle-repair example and a paid Calendly plan required for booking.
Quickchat has published a step-by-step guide to building a WhatsApp assistant that answers service questions, reads live Calendly availability and books the chosen appointment. The example is a fictional business, Harbor Cycle Workshop, which offers a free 15-minute bicycle Repair assessment. The guide is for Quickchat users.
What the customer does
- Asks about a puncture repair. The Agent explains the £12 starting labour price, that parts cost extra, and that the assessment is free.
- Asks for an assessment date. The Agent reads Calendly availability and offers times in the workshop's time zone.
- Picks a time and gives their name and email. The Agent creates the appointment in Calendly and returns the confirmation and management links.
In the vendor's controlled WhatsApp test, the customer chose 10:00 on 27 October 2026 (Europe/London). The delivered confirmation matched the Calendly appointment, 10:00 to 10:15.
The six build steps
The guide covers adding workshop knowledge, preparing the Calendly event, connecting its tools, setting the booking instructions, testing the full conversation, and repeating it on WhatsApp. It recommends building and testing in AI Preview first.
Step 1 adds five short knowledge articles: services, indicative prices, hours and appointments, location and contact, and human help and booking limits. Stable facts live in the knowledge base, and live times come from Calendly.
Step 2 sets up one Repair assessment event in Calendly. It is 15 minutes, in person, with availability in Europe/London from 10:00 to 16:00 Tuesday to Friday and 10:00 to 13:00 on Saturday. The guide also has you enable cancel and reschedule links in the event's email notifications.
Step 3 connects Calendly through an MCP action in Actions & MCPs. Default tool activation is set to Off, and the guide enables only these tools:
- users-get_current_user, event_types-list_event_types and event_types-list_event_type_available_times: on during setup and the booking test.
- meetings-create_invitee: off during setup, on for the booking test.
If you use the recommended tool setting, the guide says to review the switches, since its cancellation tool is outside this recipe.
Requirements
Business deployment needs a Quickchat commercial plan and AI credits, and Preview replies and Simulation Testing also use credits. Calendly Standard or above is needed to create appointments through its Booking API, even though the MCP connection itself is free. You also need access to the relevant Meta business account and WhatsApp Business Platform number. Quickchat offers a downloadable Harbor Cycle Workshop kit with the Main Prompt, source articles, Calendly setup and test inputs. These are editable files, not a one-click import.
