# Best Practice Management Software for Therapists (2026)

By Steven Van · 2026-09-17

Oasys's vendor-written buyer's guide matches therapy practice software to clinician count, from solo practices to groups of 50.

A buyer's guide from [Oasys Health](<https://creatorstoolbox.com/resources/oasys-health>) argues that the right practice management software for a therapy practice depends on how many clinicians it has, not on a feature checklist. The [guide](<https://oasys.health/blog/best-practice-management-software-for-therapists>) is vendor-written, and Oasys lists itself among its recommendations.

## What counts as practice management software

The guide says a tool must cover four things in one system: scheduling with a client portal, insurance and self-pay billing, clinical documentation, and reporting. A tool that does only one or two is a point solution. It also treats "practice management software" and "EHR" as the same purchase for most therapy practices.

## Where options differ

- **Billing depth:** Oasys generates CPT-coded claims from the signed note and supports group-billing codes 90853, 90847 and 90846. The guide says TherapyNotes and Valant also do real insurance billing, while most solo-first tools treat it as a bolt-on.

- **Permissions and supervision:** Oasys lets an admin scope what a biller, a supervisor or a provisionally licensed clinician can see and sign.

- **Payroll-aware reporting:** Oasys models contractor, salaried and blended-commission arrangements in its reporting.

- **Migration:** Oasys migrates existing forms and assessments and does not require re-consenting every client. The guide names consent-gated exports and dropped upcoming appointments as common failure points elsewhere.

## Recommendations by practice size

- **Solo or under 5 clinicians:** SimplePractice, Sessions Health or Jane App.

- **5 to 15 clinicians:** TherapyNotes or Oasys, once supervision and permissions become load-bearing.

- **15 to 50 clinicians:** Oasys, Valant or ICANotes, where payroll reporting and per-seat costs dominate.

- **Migrating at any size:** choose the option that can show how forms, assessments and upcoming appointments carry over.

The guide cites at least 18 of roughly 183 practice-owner conversations in Oasys's call archive as involving an evaluation or switch of practice management software. It says permissions and supervision workflows typically break around five clinicians and payroll modeling around fifteen.
